If you’re planning to apply for your Post-Graduation Work Permit (PGWP), understanding the required documents for your application is an essential step. Otherwise, you may face delays or a rejected application within your 180-day application window.
To help you out, we have compiled a checklist of all the mandatory documents, as provided in the IRCC website, required to help you complete an error-free PGWP application.
Proof of Completion of Your Program
This provides evidence that you have finished your program of study. It can be in the form of:
▪ A degree/diploma
▪ An official school letter
▪ A transcript or a copy of an online transcript
Key Details: The documents must show you graduated from a Designated Learning Institution (DLI). Your program must also meet the requirements to be eligible for a PGWP. To learn more, visit the Immigration, Refugees, and Citizenship Canada (IRCC) website.
Pro tip: Ask for your proof of program completion as early as possible, so you’re ready to apply once you graduate and your 180-day window opens.
Proof of Full-Time Enrollment
This document shows that you studied full-time at a designated learning institution (DLI). Valid documents include:
▪ Official transcript
▪ Copy of official online transcript from your school’s website
Pro tip: Ensure all pages and all final grades are included.
Passport Copy
This verifies your identity to the IRCC. Submit a scanned PDF that includes:
▪ Bio-data page (your name and photo)
▪ All pages with Canadian or international stamps and visas
Pro tip: Renew your passport ahead of time, if it is set to expire soon, as PGWPs cannot be given past the date of passport expiry. Take into account that you only have 180 days once you graduate to apply for your PGWP.
Proof of Language Proficiency (Effective November 1, 2024)
As a part of your PGWP application, as provided in the IRCC website, you must show evidence of a baseline language level ability based on the Canadian Language Benchmarks (CLB) for English and/or the Niveaux de competence linquistique canadien (NCLC) for French. To figure out your level based on your test results, use the IRCC’s chart.
Required language test results in English or French are as follows:
▪ English: CELPIP (General), IELTS (General Training), or PTE Core
▪ French: TEF Canada or TCF Canada
It is important to note that your language level requirements will differ based on your program of study. Check the IRCC website for more details.
Pro tip: If you have already completed your language test, check in advance that it meets the PGWP language level standards. If you do require a language test, schedule it in advance and ensure your scores are valid at the time of submitting your PGWP application.
Digital Photo
Your application must include two photos that are printed on quality photo paper and meet the IRCC’s photograph standards.
Pro tip: IRCC provides a Photograph Specifications one-pager that you can give to your photographer to ensure your photos meet their specifications.
Medical Exam Report (e-medical)
This is required if you've lived in a designated country or territory for 6+ months within the last year, OR
you plan to work in specific professions where your poor health could endanger the public (e.g., healthcare, teaching). Check the IRCC website to see if you require a medical exam report. Here’s how to get your e-Medical:
Schedule an exam with an IRCC-approved Panel Physician
Retrieve a copy of your medical exam report (e-medical) from your doctor and include it with your application
Letter of Explanation
Use this to clarify your unique circumstances or provide additional supporting information such as:
Your PGWP application’s purpose
Individual issues or circumstances important for the officer to know
Additional employment information that does not fit into the “Employment” section of your application
University Acknowledgement Letter
If you have gaps in your studies, request this letter from your university and include it in your application.
Biometrics
Fingerprints and a photo are required for most applicants. Biometrics are only required every ten years. Here’s how to get your biometrics:
Pay your biometrics fee once you submit your PGWP application
Complete the biometrics process based on your instruction letter. Do this as soon as possible, since you must submit your biometrics to the IRCC within 30 days of receiving this letter
Schedule your appointment at a designated Service Canada location
Submit your biometrics before your 30-day window ends
